Oracle Solicitors is hiring Office manager!
Oversee day-to-day operations
Drafting of office manual, office policies and GDPR manual.
Ensuring all aspects are implemented and complied with.
Keeping these up to date in line with global company policies and local legislation requirements.
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs, management of supplier and office lease
Organize office operations and procedures
Apply and maintain standard working procedures and make suggestions for continuous improvement.
Ensure employees work productively
Ensure staff follows health and safety regulations
Ensure that all items are invoiced and paid on time
Manage office budget, ensure accurate and timely reporting
Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
To provide / arrange effectively drafting of opinion in conformity with updated laws & procedures.
Follow up for registration & timely renewals
Partner with HR to update and maintain office policies as necessary
Coordinate with IT department on all office equipment
Prepare regular reports for upper management
Other tasks assigned from time to time
Proven experience as an Office Manager
Excellent communication skills in English and provide weekly management reports for management
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Knowledge of Albanian Law
Presentation and analytical skills
High attention to detail
Ability to work autonomously
Prior managerial/supervisory experience
